The Web3 Events Guide
Choosing the right event, budgeting, pitching a talk, sponsoring well and following up afterwards.
Everything we have learned about getting real value out of the event circuit.
1. Pick by outcome, not by hype
Write down the single outcome that would make the trip worth it — five qualified conversations, two hires, one partnership. Then pick the format that produces it. A conference is for volume; a summit is for depth; a hackathon is for recruiting; meetups are for compounding local presence.
2. Read the line-up, not the landing page
The speaker and sponsor lists tell you who will actually be in the building. Check both on the event page before you commit, and look at the organiser’s previous editions to see whether the calibre holds.
3. Budget honestly
- The ticket is usually the smallest line. Flights and hotels during an anchor week dominate.
- A booth without a staffing plan is money set on fire — three people minimum for a two-day floor.
- Budget for the follow-up: the value is created in the two weeks after, not during.
4. Plan the fringe first
During an anchor week the side calendar is where the meetings happen. Lock in the two or three events that match your outcome before you book anything else, then build the trip around them.
5. If you are pitching a talk
- Submit early — most CFPs fill the good slots in the first third of the window.
- Pitch an argument with a title someone would screenshot, not “an overview of our platform”.
- Include one link to you presenting, even if it is a meetup recording.
- Say what the audience will be able to do afterwards that they cannot do now.
6. If you are sponsoring
Ask for last year’s attendee breakdown by role and region before you sign, not after. Compare tiers on who took them previously — the company list is a better guide to value than the deck.
7. Afterwards
Send follow-ups within 48 hours while the context is fresh, and write a short internal note on whether the outcome you defined in step one actually happened. That note is what makes next year’s decision easy.

How far in advance should I book?
Six to eight weeks for hotels in a hub city during an anchor week — accommodation near the venue sells out long before tickets do.
Are expensive tickets worth it?
Rarely for the content, which is usually published afterwards. They can be worth it for the side programme and attendee-list access — check what the tier actually includes.
How do I get on stage?
Submit to the call for speakers early, pitch a specific argument rather than a company overview, and include a link to you presenting something before.
